These are some ways that I keep my things organized, for quick finds. Think about the things you keep on hand and try splitting them up, so you are not digging through 15 cords and bit and bobs to find that one allen key you need. I find that by keeping this standard set of items ready, it makes putting the event together just a little easier.
To keep critical equipment organized, protected, and easy to audit between events, split your kit into three clear zipper bags:
Bag 1: Power & Charging
Keep device power and charging essentials organized in one dedicated pouch:
- 1x Compact Battery Pack (keep charged to 100%)
- 1x USB Extension Cord
- Multi-style Charging Cords (various styles and lengths)
- Power Blocks / Bricks
Bag 2: Maintenance & Utilities
Your go-to pouch for surface care, quick cleanups, and on-site troubleshooting:
- 1x Microfiber Towel (for wiping down props and equipment)
- 1x Travel-size Pack of Disinfecting Wipes
- 1x Pair of Scissors
- 1x Multi-tool
- Spare USB Extension Cord
- Extra Charging Cord, This one is a multi type, so if an attendant needs to keep in contact it will fit any phone. Bonus extra emergency charge for equipment.
- Ear Plugs, we provide our regular attendants with Loop earplugs. But, I do keep some disposables in the bag for new, or impromptu attendant needs.
- Pain Reliever! (We all know how important that can be at a long event.
Bag 3: Hardware & Rigging
Everything required for setup stability and backup parts:
- 1x 3-Plug Power Splitter
- 1x Roll of Gaff Tape
- Extra Backdrop Clips, these little guys have helped out in many different ways!
- Spare Hardware Pack (extra bolts and parts for the share station and hat rack)
The other thing that I keep in every prop box is a mini fan. I use it in the back of the photo booth, if things seem to be getting to hot. We all know how that can really mess with the equipment. Bonus, that it can be used to cool yourself during a hectic event!
Putting together this 3-bag kit takes minimal investment, but it saves immeasurable time and stress on-site. When a cord fails, a backdrop clip pops, or a screen needs a quick wipe-down, you or your crew won’t have to scramble—everything you need is right where it belongs.
